This form defines an employee's leave entitlement and lists the leave accrued and taken for each leave year.
The leave year can be unique for each employee, such as based on the employee's start date, or it can be a standard date for all employees, such as the financial or tax year. Set the anniversary date to the end of the current leave year for this employee.
For more information on setting up leave processing see How to set up leave processing.
Leave Type
Select the leave type for this leave record. You can edit leave types in the Leave Type edit screen.
Yearly Entitlement
The yearly leave entitlement can either be entered as a number of hours (120.00 for 15 days leave per year), or a number of days.
If the employee has an award entitlement, leave the annual leave entitlement on the this screen blank. The leave accrual will then use the annual leave entitlement specified by the employee's award step.
If an annual leave accrual payment is not entered in the Calculation screen, the annual entitlement will be added to the annual leave balance at the end of the leave year. The leave year end is processed when you open the next pay period after the employee's leave year end date.
Units
The leave units specify how the leave entitlements and balances are defined for this leave type for this employee. You can select either Hours or Days.
Accrual Basis
Defines how the value of holiday pay is accrued when a leave accrual pay item is added in the pay calculation screen.
- None - no automatic accrual the payee's yearly entitlement, if any, is added to the payee's accrued total on the anniversary date each year.
- Proportion of yearly entitlement the payee's yearly entitlement is divided by the number of pay periods in the year and the result is the leave hours or days to accrue this pay period.
- Percentage of ordinary hours the total of ordinary hours is accumulated and the result is multiplied by the leave accrual pay item factor as a percentage. The factor can be over-ridden by adding a leave accrual pay item to the payee's standard pay tab, and entering the percentage in the factor.
- Percentage of total hours the total of ordinary and overtime hours is accumulated and the result is multiplied by the leave accrual pay item factor as a percentage. The factor can be over-ridden by adding a leave accrual pay item to the payee's standard pay tab, and entering the percentage in the factor.
Leave Basis
Defines how the value of holiday pay is calculated when a leave pay item is added in the pay calculation screen.
- Ordinary Pay the leave is paid at the employee's hourly rate.
- Salary the leave will have a zero cash value because the employee's salary is paid at a constant value every pay period.
- Average Hourly Rate (NZ only) the leave is paid at a rate defined by the Holidays Act 2003 if paid on or after 1 April 2004, or the Holidays Act 1981 if paid prior to 1 April 2003.
- Percentage Earnings (NZ only) the leave is paid as a percentage of earnings, less the total of holiday pay already paid. Note that this method does not comply with the Holidays Act 2003.
Leave Year End Date
Enter the last day of the current leave year for the employee. This could be the day before the next anniversary of the employee's start date, or the last day of the financial or tax year.
Leave the leave year end date blank if you have a common leave year end date for all employees. Instead, enter the common leave year end date in the Pay Group edit screen.
Leave Details
You can edit the leave accrual and taken balances, or add more accrual history. Add a leave detail record with a blank leave year end date to record a brought forward balance.
