How to restrict access to your payroll data

Keep your database in a secure folder

When you create a new payroll database in Kwik-Pay, you can create the database in any location on your machine. It is recommended that you create your payroll database in a folder in which access is restricted, such as 'My Documents' if only you are going to access the payroll, or a restricted shared folder if people are going to access the payroll using different user login names.

If you create your Kwik-Pay Payroll database in a folder to which every user has access, such as the Kwik-Pay program files folder, you can move the payroll database file to a more secure location, and then in Kwik-Pay select File, Open Payroll to open the payroll database from it's new location.

Create restricted users

Kwik-Pay includes the facility to restict individual user's access to specific functions in Kwik-Pay. For example, one person may only be able to enter pay calculations, but not be able to add new employees. Encrypt your payroll database

If you suspect that the location you stored your database is accessible to people other than those you want to access the database, you may wish to encrypt the database so it cannot be opened by anyone using Microsoft Access or any other software. Select File, Encrypt Database from the main menu in Kwik-Pay and enter a password.

You MUST remember the passwsord you enter. Once you have encrypted a Kwik-Pay database, no-one will be able to access the data without entering the password. If you forget the password, you will not be able to open the payroll and there are no workarounds.

Please also be aware that the Kwik-Pay backup process cannot compress an encrypted database. The size of the backup zip file will be the same as the encrypted database. The Kwik-Pay backup process normally compresses a kwik-Pay database to a tenth of it's original size.
